Belgian immigration: required documents

Required documents for non-EU citizens 

All these documents should be scanned separately upon arrival in colour and forwarded to international@kdg.be ultimately 1 week after arrival.  

Only complete files will be accepted for the immigration office.  

Please make sure that if you are a student from a non-EU member state, that you have a D-visa for the whole period! A valid D-visa is also needed for non-EU students who are registered at a European university and have a European residence permit.  

  • Identity information sheet duly completed
  • Scan of your certificate of registration at KdG (acceptance letter)    
  • Coloured scan of your passport  
  • Coloured scan of your D-visa
    If your D-visa doesn’t state the codes B1 or B3 OR if your visa does state the code B6: add ONE of the following documents:
    • Scan of your (Erasmus) grant, mentioning the amount of the grant
    • OR Tenlasteneming bijlage 32 (document is in Dutch, ask someone to help you translate it)
    • OR scan of your certificate of adequate resources
  • 3 passport pictures, sized 3,5 x 4,5 cm – white background (not to be scanned but to be given during your appointment at the immigration office) 

Keep all original documents and the passport pictures since you will need to show them when going to the immigration office.  

Required documents for EU citizens  

All these documents should be scanned separately upon arrival in colour and forwarded to international@kdg.be ultimately 1 week after arrival.   

Only complete files will be accepted for the immigration office.  

  • Identity information sheet duly completed
  • Scan of your certificate of registration at KdG (acceptance letter)
  • Coloured scan of your passport OR coloured scan of your identity card   
  • Coloured scan of your health insurance card (valid in Belgium)
  • Document of sufficient financial means duly completed
  • 2 passport pictures, sized 3,5 x 4,5 cm – white background (not to be scanned but to be given during your appointment at the immigration office)  

Keep all original documents and the passport pictures since you will need to show them when going to the immigration office.

Required documents for citizens from neighbouring countries

All these documents should be scanned separately upon arrival (in colour) and forwarded to international@kdg.be, ultimately 1 week after arrival.                               

For students with main residence in The Netherlands, Germany, France or Luxemburg (kotstudenten):                       

  • Identity information sheet duly completed            
  • Scan of your certificate of registration at KdG (acceptance letter)              
  • Coloured scan of your passport OR coloured scan of your identity card   
  • 3 passport pictures, sized 3,5 x 4,5 cm – white background (not to be scanned but to be given during your appointment at the immigration office)
